The CounselLink Features You Aren’t Using…But Should Be!

Creating matters, reviewing invoices, searching; sure you can do that.  Now, let’s take your skills to the next level.  Here are some underutilized features to increase operational efficiency and visibility into your data.

Most of these features are available to everyone. However, CounselLink is highly configurable by design.  If a feature is unavailable, please reach out to your account manager to inquire. 

 


Combine your Invoices

Speed up the process or dive into the invoice data during review.  Wouldn’t it be great to see approved and unapproved charges for a timekeeper across all invoices on a matter?  Or to see all the all expenses from a law firm regardless of matter.  Could this help you identify problems, savings or patterns earlier in the process?

How to Combine Invoices:

There are a couple methods to combine invoices.

From Search Results

  1. Conduct an Invoice Search.
  2. Check the box to select the invoices to combine.
  3. Click Combined Invoice.

  1. Open a Matter.
  2. Click the Invoices
  3. Check the box to select invoices to combine.
  4. Click Combined Invoice.

Communicate within your Invoices

Including notes on your invoices can serve a wide range of uses.  One of the main benefits is reducing the amount of emails about invoicing, use the charge and invoice notes to relay messages to the next reviewer.  Another benefit is to record information for historical purposes.  Explain the reasoning behind a reduction, add charge or invoice detail gathered through outside communication with the law firm or provide more information to the law firm.

How to Add Notes

Notes can be added to individual charges and to the invoice in general.  Any note added will default to a corporate view only, although you may choose to make the note visible to the law firm.

Add a Charge Note

  1. Open an Invoice.
  2. Click the Charges
  3. Check the box to select a charge.
  4. Click More Actions > Add Note.3

5.  Enter Note text.
6.  Select who will view the note. Note will default to internal view.

Track matter and invoice activity

You can always track changes to your matters, who had invoices before you and really any other activity on your matters and invoices.

How to Track Activity

You can track activity on your matters and invoices.  Four methods are outlined below

View the Change Log

The change log will show any edits to the matter information and who entered the custom data

  1. Open a Matter.
  2. Click More Actions > Change Log.
  3. Log will show the field changed, the old value, the new value, who made changes and when the change was made

View Matter History

The matter history will show any event connected to the matter.  For example, when it was created and by whom, when invoices are submitted, when budgets are added, when documents are added or deleted.  All matter activity is recorded under the history tab.

  1. Open a Matter.
  2. Click the History
  3. Click any column header to sort information.

View Invoice History

The invoice history will show any event connected to the invoice.  For example, when it was created, when it was submitted, who has reviewed it and when it has been approved.  All invoice activity is recorded under the history tab.

  1. Open an Invoice.
  2. Click the History
  3. Click any column header to sort information.

View Charge History

In charge history will show any changes made to an individual charge.

  1. Open an Invoice.
  2. Click the Charges
  3. Click any H View the history.

Search Tools

Searching is not just for finding items anymore.  You can perform many actions from the search panel, you can configure the results and use search results like a mini-report and you can also save custom searches to always have your most important data at your fingertips.

Save a Search

  1. Perform any Matter or Invoice search from the Matter or Invoice tab. For instance:
    1. Matter: Staff name and Staff role.  Search your own name as the invoice or matter contact.
    2. Invoice: Search for all invoices from a particular law firm.
  2. Click the Save Search
  3. Name your Search.
  4. Access the search in your saved search container on the home page.

Configure your Search Results

Change the items that show on the search panel.  Customize your view to what you find most important.

  1. Perform any Matter or Invoice Search from the Matter or Invoice Tab.
  2. Click the edit icon in the right corner of the search results12

4.  Selected fields will show on table, available fields may be moved to selected.
5.  Configure your number of results per page.
6.  Set your default sorting.

Take Action on Multiple Items

Once a search is executed, there are many actions available right from the search panel.  You can update matter information, assign law firms, combine invoices to name a few.

  1. Perform any Matter or Invoice Search from the Matter or Invoice Tab.
  2. Select Matters or Invoices from the list.
  3. Access the action buttons to perform actions on all items selected.

Find Help

CounselLink offers many opportunities to access additional help.  There are On Demand training modules on LexisNexis University and there are Help Files built into the CounselLink System.

LexisNexis University

LexisNexis University is a website serving all LexisNexis software products.  You will find four free modules targeted to the Corporate Client and one targeted to Law Firms.  A sample of the content is below.

  • CounselLink Power User Training – Corporate Client: manage corporate, office and user profiles, contact management, fee offers, legal holds
  • CounselLink Reporting – Corporate Client: standard reports, ad hoc reporting
  • Getting Started with CounselLink – Corporate Client: new user starting point, navigation, user profile,
  • Working in CounselLink – Corporate Client: matter management and invoice review.
  • CounselLink Law Firm OnDemand Training: Set-up, rate submission, invoice submission, collaboration with corporate client.

Directions

  1. Go to https://www.lexisnexis.com/university/
  2. Log in or register as a new user.
  3. Click Current schedule at top.
    1. Select a module.
    2. Click Launch to review training.
    3. Access training modules in each of the sections, Essentials, Advanced and Supplemental.

Help Files

The help files are built into the CounselLink application and constantly being updated and improved.  The help files can be printed out as independent subjects and can function as basic job aids.  In addition to the subjects offered, there are also a few PDF’s available in the reporting section.

  1. Open CounselLink.
  2. Click the ? icon in the upper right corner.
